Most freelancers improvise their first-week process. Emails go back and forth. Forms get lost. Scope gets assumed rather than stated. Then they're three months in, dealing with scope creep, unclear deliverables, and a client who doesn't feel like they got what they signed up for.

How many rounds of revisions are included? How should the client submit feedback? What happens if they want major changes after approval? Clients who feel heard but who also know the rules give better feedback and fewer surprise change requests.

Set a project kickoff call or confirmation email

A 20-minute kickoff call — or at minimum a detailed confirmation email — aligns on goals, timeline, and decision-making authority. Who approves the work? What's the final deadline? Are there any blockers to be aware of? Get this in writing at the start, not in a panic at the end.

Create and share a project timeline

Visualize the project with a simple timeline or milestone schedule: kickoff, first draft, revision round, final delivery. Share it with the client. Most clients don't track time the way freelancers do — they need a visual to know when things are happening.

Send a welcome and next-steps email

Summarize everything: scope confirmed, timeline attached, access received, first milestone date. This is a 5-minute email that tells the client you're organized and ready to go. It also creates a paper trail of what was agreed upon — invaluable if disputes come up later.

Common Onboarding Mistakes Freelancers Make

These are the exact patterns that lead to payment disputes, scope creep, and client churn. Avoid all of them.

❌ Starting work without a signed agreement

Any work done without documentation is work you have no legal claim to. If the relationship goes sideways, you have nothing to point to. The service agreement is your protection — it takes 20 minutes and is non-negotiable.

❌ Skipping the intake form

If you don't know what the client actually needs, you can't deliver it. The intake form exists to surface everything — project scope, existing assets, decision-makers, deadlines. Skip it, and you'll be asking these questions mid-project.

❌ No written communication policy

Without defined response times and preferred channels, clients will message you on every platform at every hour. A simple "I check email twice daily — morning and end of day" policy in writing prevents burnout and boundary issues.

❌ Not defining revision limits

"A few rounds of revisions" is not a scope clause. Specify: two rounds of revisions included, additional revisions billed at your hourly rate. Without this, revision loops can expand indefinitely without extra compensation.

❌ No clear payment terms in writing

Net-30 and Net-15 aren't the same thing. Payment terms, late fees, and deposit requirements need to be stated explicitly. Verbal agreements about payment don't hold up — written ones do.
